Terms & Conditions

These terms govern access to and use of PPE Flo. Please read them before creating an account or buying a subscription.

1. About these terms

PPE Flo is operated by David Yeboah, trading as PPE Flo ("PPE Flo", "we", "us" or "our"). When you create an account, use the service or continue to use it after an updated version of these terms takes effect, you agree to these terms. If you use PPE Flo for an organisation, you confirm that you have authority to bind that organisation.

2. The service

PPE Flo is subscription software for PPE inventory, delivery and usage records, infection prevention and control audits, corrective actions, team administration and compliance reporting. It supports a care provider's governance processes but does not guarantee CQC registration, inspection outcomes or legal compliance. You remain responsible for your care practice, policies, records and professional decisions.

3. Accounts and organisation administrators

You must provide accurate, current information and keep account credentials confidential. You are responsible for activity under your account. Organisation administrators control invitations, roles, access and subscription choices for their organisation and must only grant access to authorised people. Tell us promptly through the support channel in your account if you suspect unauthorised access.

4. Licence and acceptable use

While your account is active, we grant you a limited, non-exclusive, non-transferable right to use PPE Flo for your organisation's internal business purposes, subject to your plan limits. You must not:

  • use the service unlawfully, fraudulently, deceptively or to send spam;
  • upload content you do not have the right to use or that infringes intellectual property, privacy or other rights;
  • introduce malware or interfere with the service's security, availability or integrity;
  • probe, scan, scrape or test vulnerabilities without our written permission;
  • reverse engineer, resell, redistribute or circumvent technical or plan limits; or
  • use another person's account or attempt to gain unauthorised access.

5. Your content

You retain ownership of audit records, reports, notes, staff information and other content submitted by your organisation. You grant us a limited licence to host, copy, process and display that content only as needed to provide, secure, maintain and support PPE Flo. You are responsible for ensuring that your content is accurate, lawful, appropriately minimised and backed by any notices or permissions your organisation requires.

6. Our intellectual property

PPE Flo, including its software, design, documentation, templates, branding and other materials, is owned by us or our licensors. These terms do not transfer that intellectual property to you. Feedback may be used to improve the service without restriction or payment, provided we do not identify you without permission.

7. Trials, subscriptions and payment

Plan features, user limits, billing frequency and prices are shown before purchase. A free trial does not become paid unless an authorised administrator actively chooses a plan and completes checkout. Paid subscriptions continue for the selected billing period until cancelled. Plan changes may take effect immediately and may be prorated as shown at checkout.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. Paddle's Buyer Terms govern payment, billing, tax, cancellation and refund mechanics and are available at paddle.com/legal/checkout-buyer-terms.

8. Availability and changes

We aim to keep PPE Flo reliable, but do not guarantee uninterrupted, error-free or permanently available service. Maintenance, security incidents, supplier failures and events outside our reasonable control may affect availability. We may change the service where reasonably necessary for security, law, performance or product development and will avoid materially reducing paid functionality without reasonable notice where practicable.

9. Suspension and termination

You may stop using the service and cancel through the billing controls available to your organisation. We may restrict, suspend or terminate access for a material breach, non-payment, a security or fraud risk, or repeated or serious policy violations. Where appropriate, we will give notice and an opportunity to remedy the issue. After access ends, retention and deletion follow our Privacy Notice and applicable law; export important records before cancellation.

10. Warranties and liability

To the fullest extent permitted by law, PPE Flo is provided "as is" and implied warranties of merchantability, fitness for a particular purpose and non-infringement are excluded. We are not liable for indirect, consequential or special loss, or loss of profits, revenue, goodwill or data. Our total liability arising from the service will not exceed the fees paid for the service in the twelve months before the event giving rise to the claim.

Nothing in these terms excludes liability that cannot lawfully be excluded, including for fraud or fraudulent misrepresentation, or death or personal injury caused by negligence.

11. Indemnity

To the extent permitted by law, your organisation will indemnify us against third-party claims and reasonable costs arising from its unlawful use of PPE Flo, its content, or a material breach of these terms.

12. General

You may not assign these terms without our consent. We may assign them as part of a sale, merger or business reorganisation. If a provision is unenforceable, the remainder stays in effect. Delay in enforcing a right is not a waiver. These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction, subject to any mandatory consumer protections that apply to you.
